Importing Barcodes into Inventory

Modified on Wed, Apr 15 at 3:46 PM

Summary

You can scan the item barcodes for an Inventory Section into a text file by:

  1. Using a portable barcode scanner and then dumping the barcode list into a Notepad text file from the

scanner memory; OR

  1. Taking a laptop computer to the shelves and scanning the barcodes directly into a Notepad text file.

Scanning the item barcodes to a text file creates a backup of scanned barcodes which can be reimported if necessary.

Note: Each barcode text file should include only barcodes for a single Inventory Section. There is no restriction on the number of text files that can be imported into a single Inventory Section.

Option A: Creating a Barcode Text File from a Portable Barcode Scanner

  1. Follow the manufacturer’s instructions to store the barcodes you scan into the scanner’s memory.
  2. Open Microsoft Notepad using: Windows > Start Menu > Programs > Accessories > Notepad
  3. Ensure the mouse cursor is positioned in the Notepad window then follow the manufacturer’s instructions to transfer the barcodes saved in the Barcode Scanner’s memory into the Notepad screen.
  4. Check that the barcodes are listed one per line. Ensure there is a blank line after the last barcode.
  5. Save the file with an easily identifiable name in an accessible location. Ensure the filename uses the extension .txt.
  6. Once the file has been imported successfully into Inventory, follow the manufacturer’s instructions to clear the scanner’s memory before starting to scan another batch of barcodes.

Note: Do not use Word or Wordpad as the files produced may contain formatting characters and these will interfere with importing the barcodes into Inventory.

Option B: Creating a Barcode Text File by Scanning Directly into a Text File

  1. Open Microsoft Notepad using: Windows > Start Menu > Programs > Accessories > Notepad
  2. Place the cursor into the text file by left clicking anywhere inside the Notepad screen.
  3. Use an attached Barcode Scanner to scan each item barcode into the Notepad window.
  4. Check that the barcodes are listed one per line. Ensure there is a blank line after the last barcode.
  5. Save the file with an easily identifiable name in an accessible location. Ensure the filename uses the extension .txt.

Note: Do not use Word or Wordpad as the files produced may contain formatting characters and these will interfere with importing the barcodes into Inventory.

Importing the Text File of Barcodes

  1. Open the Inventory Section Details.
  2. Click Import Barcodes.
  3. Select Choose File. Locate the text file of barcodes for this Inventory Section and then click the Open button. The file path and filename will be copied into the Text File field.
  4. Optionally, check the Auto Return box to automatically return any items in the import file that are still On Checkout.

Note: If there is a possibility any of the scanned barcodes may have been loaned out since the scanning was performed, the Auto Return option should not be selected. It is good practice to import barcodes into the Inventory Section as soon as possible after scanning.

5. Click Upload to import the text file of barcodes.
